Job Description

Summary: 

The Assistant Athletic Director for Operations provides strategic leadership and day-to-day oversight of D'Youville University's athletic facilities, event operations, and equipment services. This position is responsible for creating a safe, efficient, and championship-caliber environment for student-athletes, coaches, staff, and visitors while ensuring that athletic facilities and equipment operations support the University's mission and competitive goals.

The Assistant Athletic Director is responsible for facility scheduling, operations, maintenance coordination, athletic event management, equipment room operations, and game-day logistics. Working collaboratively with campus departments and external partners, this position leads operational planning for intercollegiate competitions, special events, camps, rentals, and facility improvement initiatives while ensuring compliance with NCAA, conference, and institutional policies.

Responsibilities: 

  • Provide leadership and oversight for the daily operations, maintenance, scheduling, and functionality of all D'Youville Athletics facilities.
  • Oversee all athletic event and game-day operations, including planning, logistics, staffing, and execution for home contests, championships, and special events.
  • Manage the day-to-day operations of the athletic equipment room, including equipment procurement, inventory, storage, distribution, and lifecycle management.
  • Coordinate facility scheduling for practices, competitions, academic use, rentals, camps, and special events while maximizing facility utilization.
  • Develop and administer operational budgets related to facilities, equipment, and event management, including purchasing, vendor relationships, and inventory control.
  • Supervise facility staff, equipment room personnel, event staff, and student employees, fostering a culture of professionalism, collaboration, and customer service.
  • Collaborate with University departments and external partners to ensure facilities are safe, operational, and compliant with institutional, conference, and NCAA standards.
  • Support university partners with campus event planning and execution.
  • Assist with strategic planning, facility improvements, capital projects, and operational initiatives that enhance the student-athlete and fan experience.
  • Perform other duties as assigned by the Vice President for Athletics and Strategic Planning.

Minimum Qualifications: 

Education: 

  • Bachelor's degree from an accredited institution.
  • Valid driver's license.

Experience:

  • Three years of progressively responsible experience in collegiate athletics operations, facilities management, event management, equipment operations, or a related field.
  • Demonstrated experience coordinating athletic events, facility operations, or equipment services.

Skills & Abilities: 

  • Demonstrated knowledge of NCAA rules, regulations, and best practices related to athletics operations and facilities.
  • Strong leadership, organizational, project management, and problem-solving skills.
  • Excellent interpersonal, written, and verbal communication skills.
  • Ability to effectively manage multiple priorities in a fast-paced environment while maintaining exceptional attention to detail.
  • Experience supervising staff and cultivating collaborative working relationships.
  • Knowledge of athletic event management, facility operations, equipment services, risk management, and customer service principles.
  • Proficiency with Microsoft Office and facility scheduling/event management software.
  • Ability to establish and maintain positive working relationships with campus partners, coaches, student-athletes, vendors, and external constituents.
  • Ability to work evenings, weekends, holidays, and travel as required.

Preferred Qualifications:

  • Master's degree in Sport Management, Higher Education, Business Administration, or a related field.
  • Five or more years of progressively responsible experience in NCAA intercollegiate athletics.
  • Experience supervising full-time staff and student employees.
  • Experience managing operational budgets, capital projects, and equipment operations.
  • Experience planning and administering conference championships, tournaments, or large-scale athletic events.
  • Knowledge of NCAA Division II athletics operations and conference championship administration.

Pay: $55,000 - $60,000 Annually
